Front Desk & Studio Coordinator

Description: 

Position Summary

As the Front Desk & Studio Coordinator, you will be the first point of contact for our company—greeting guests, managing front desk operations, and supporting the daily administrative and operational needs of the office. You will play a key role in creating a professional and welcoming environment while ensuring that everything runs smoothly behind the scenes.
As Viktor&Rolf B.V. is located in the same building as Diesel Benelux B.V., some of your activities will also be carried out on behalf of Diesel Benelux, in coordination with their team.

Key Responsibilities

Reception Duties
•    Warmly welcome and assist visitors, clients, and vendors
•    Answer and direct phone calls and emails promptly and professionally
•    Manage incoming and outgoing mail and packages
•    Maintain a tidy, organized, and stylish front desk and reception area
Office Management Duties
•    Oversee general office operations, including supplies, equipment, and maintenance
•    Coordinate with external vendors (cleaning, maintenance, IT support, etc.)
•    Organize team events, meetings, travel, and appointments
•    Support HR and onboarding processes (workspace setup, welcome kits, etc.)
•    Maintain office policies and procedures to ensure smooth workflow
•    Assist in planning and logistics for seasonal events, showroom setups, and sample sales
Administrative Support
•    Prepare basic reports, manage calendars, and assist senior staff as needed
•    Handle expense reports, invoices, and petty cash
•    Liaise with courier services, building management, and service providers
•    Coordinate health & safety or compliance-related tasks (e.g., fire drills, visitor logs)
Special Project Coordination
•    Twice a year, you will assist Diesel Benelux BV in organizing the sales campaign, including:
o    Supporting showroom setup and breakdown
o    Coordinating appointments and schedules with clients and sales teams
o    Managing hospitality needs and logistics during the campaign weeks
o    Ensuring a professional and branded environment for all visitors
Private & Custom Client Support
•    Act as a key point of contact for private and custom clients, ensuring a seamless and personalized customer journey
•    Coordinate appointment scheduling, hospitality, and follow-up communication for bespoke services
•    Collaborate with the sales and studio teams to support customized client needs and maintain exceptional service standards
•    Ensure the reception and studio environment reflect the level of service expected by high-profile or VIP clients
•    Maintain confidentiality and discretion at all times, reflecting the brand's ultra-luxury positioning

Qualifications & Skills
•    2+ years in a similar role (reception, office management, or administrative support)
•    Experience in the fashion, creative, or design industries is a plus
•    Fluent in English (written and spoken); Dutch and other languages are an asset
•    Strong organizational and multitasking abilities
•    Excellent communication and interpersonal skills
•    Proficiency in Microsoft Office and/or Google Workspace
•    Proactive, reliable, and able to work independently
•    A polished, professional, and fashion-conscious appearance

Contract conditions
