Marni is looking for a Showroom Cooridnator to join the wholesale team. S/he will coordinate day-to-day showroom operations before, during and after wholesale sales campaigns, supporting technical product presentations and retail buying activities, while delivering the highest standards of client hospitality and brand experience. The Showroom Manager acts as an operational liaison across Wholesale, Retail, Sales Operations, Logistics, Inventory Control, Finance, Marketing and PR, ensuring agreed service levels and responsible management of the dedicated showroom operational budget.
Key Responsibilities
Wholesale campaign & buying appointment operations
- Own and coordinate the showroom appointment calendar (buyers, retail teams, internal stakeholders), ensuring agendas, room allocation, timing and resources are aligned.
- Prepare each appointment end-to-end: meeting room readiness, required samples/tools, technical materials, and day-of coordination to keep the client flow smooth.
- Support virtual appointments when needed (set-up, scheduling, troubleshooting, materials sharing).
- Coordinate market/campaign preparation and pack-down (pre-season set-up and post-campaign reset) to ensure continuity across campaigns.
Technical presentations & sales enablement
- Coordinate technical collection presentations (setup, sequence, materials, AV/monitor content where applicable), ensuring consistency with internal guidelines and brand standards.
- Ensure the availability and accuracy of sales tools (lookbooks, imagery, linesheets, inventory lists, product/technical information packs) in partnership with Sales Operations, Merchandising and Marketing.
- Support commercial teams with presentation and proposal materials when required (formatting, printing, file organization, version control).
Client experience & front-of-house coordination
- Deliver a premium client experience from first contact to post-visit follow-up: greet clients professionally, handle requests efficiently, and manage issues/complaints with a service-recovery mindset.
- Act as a reliable front-of-house reference point during peak campaign periods (high traffic, changing priorities)Â Showroom set-up, visual upkeep & vendors
Showroom set-up, visual upkeep & vendors
- Coordinate the showroom set-up and daily upkeep in collaboration with Visual Merchandising, ensuring correct presentation standards and readiness to host (supplies and hospitality items).
- Manage all showroom services and suppliers (e.g., catering, cleaning, maintenance, couriers; travel/accommodations where applicable), ensuring quality, timing and cost control.
Sample, inventory & logistics coordination
- Coordinate end-to-end sample management: receiving, check-in/out, organization of the sample library/closet, traceability, and availability for appointments.
- Oversee sample movements and logistics: send-outs/returns, shipment tracking, and coordination with Logistics/Warehouse partners; manage discrepancies and damages through the defined process.
- Maintain strong operational discipline on sample accuracy and condition (especially during market peaks), ensuring materials are presentation-ready.
People coordination (temporary campaign staff)
- Coordinate recruitment, onboarding and scheduling of temporary showroom staff (temporary sellers, dressers, models, interns) according to campaign demand and daily agenda.
- Assign duties, monitor execution throughout the day, and ensure staff operate in line with brand standards and showroom ways of working.
Sales Operations support, reporting & budget control
- Support post-appointment operational follow-ups in line with process (e.g., order capture support, order checks, coordination with Sales Operations/Customer Service for system entry when required).
- Prepare and circulate key operational reporting during the campaign (e.g., shipping/sample status, market readiness trackers, weekly recaps) and contribute to post-campaign improvements.
- Manage the dedicated showroom operational budget (services/vendors/campaign needs) in coordination with Finance and Sales Operations; track spend and support reconciliation.
Job Requirements
- Proven experience in a similar role within international luxury/fashion wholesale environments, ideally supporting wholesale campaigns/market periods.
- Strong operational mindset: planning, prioritization, attention to detail, and ability to execute under pressure.
- Excellent stakeholder management across commercial and corporate functions; confident in vendor coordination.
- Strong customer service standards and professional communication skills (written and verbal).
- Fluent English (Italian is a plus).
- Strong MS Office skills (Excel/Outlook/PowerPoint). Familiarity with wholesale and sample tools/systems is a plus.
- Hands-on attitude and comfort handling physical showroom tasks (moving/arranging samples, maintaining showroom readiness) during peak campaign periods.
