Facilities and Project Manager

Job Pupose

 

The main focus of the Facilities and Project Manager role is to ensure that store maintenance and facility projects are managed in a timely manner and within budget.  In this role, you must clearly communicate with all partners, including, but not limited to, Store Management, Interior Design, Visuals and Retail Operations regarding timelines, budgets and overall impact on business needs.  The Facilities and Project Manager will negotiate and partner with vendors and contractors to expedite projects on a national, regional and store level.  It will be crucial to prioritize urgent needs that arise within stores and exercise discretion and independent judgment in the day to day management over key functional areas.

 

Job Responsibilities

 

Functional Planning

  • Plans of day-to-day and annual work flow for all maintenance activities
  • Establishes priorities and ongoing objectives for upcoming projects
  • Manages and direct individual tasks to ensure proper delegation in order to maximize output
  • Determines resources and equipment required to enable objective achievement, and submits requests for those resources

 

Maintenance

  • Respond to all reports of facility issues within stores and recommend strategy and solutions
  • Contact appropriate vendors and contractors ensuring deadlines are being met cost effectively
  • Create budgets and timelines for any upcoming projects
  • Consistent follow-up with vendors and agencies responsible for project execution
  • Sensitivity to business needs of the stores, ie. scheduling maintenance repairs during the appropriate hours
  • Ability to understand the origin of electric/water/air conditioning issues and to communicate with vendors to ensure Diesel is receiving the best outcome for our needs
  • Understand the urgency of health and safety issues as well as building and fire codes

 

Communication

  • Build relationships with Store Management in each of Diesel’s locations and with the Regional Managers
  • Keep all parties up to date on projects (ie. IDD Project Manager, HR, Ops)
  • Work with the Visual team on maintaining the Diesel image when executing projects
  • Review visual tools initial order, working with Store Planning and Interior Design (SPID) and Visual team;
  • Ability to give status updates, when requested, by upper management
  • Partnership with the Control team on ensuring budgets are adhered to and/or shifting
    resources to satisfy priorities
  • Successfully bring in third parties, as necessary, such as building owners, the city, etc.

 

 

Operations & Administration

  • Manage maintenance budget
  • Create Purchase Orders in SAP for every invoice involved in a project
  • Follow up with vendors regarding site visits and status of maintenance projects
  • Track the unique needs of the A/C, HVAC, fixtures, etc. in each point of sale
  • Participate in all store openings and closings
  • Issue a monthly report about maintenance activities (time spent, cost, store involved etc..)

 

Legal Compliance

  • Knowledge of ADA codes (ie. Water leaks, clear pathways, trash & working elevators)
  • Maintain safe working conditions for employees and customers

 

Store Planning & ID

  • Support SPID on the financial progress of each project: keep track of all the PO requested and have a monthly recap. The file must be on SharePoint and accessible by SPID team
  • Support SPID during the pre-construction activities (survey, collecting documents from the LL, preliminary information from the others Diesel department etc.)
  • Manage and coordinate the onsite construction activities
  • Work with company management, GC, subcontractors, and suppliers to ensure the project is completed on schedule, in budget and with quality that meets company standards
  • Close the punch lists (including travel on site if necessary)
  • Collect all the closeout documents and work with the LL to have the tenant allowance, if applicable
  • Update the vendor database, with a SPID supervision, including operativity area, activities, Diesel projects involved in the past etc.

 

Education/Licences/Certifications

4 year degree and/or equivalent combination of work and experience

 

Qualifications

  • 2-4 years of Facilities Manager and/or Project Manager experience
  • Familiarity with the retail and/or wholesale industry
  • Sophisticated written and verbal communication skills
  • Excellent time management, prioritization and organizational skills
  • Multi-site environment experience
  • Budget Management
  • Exceptional problem-solving skills
  • Exceptional negotiation skills
  • Strong knowledge of Microsoft applications: Word, Excel and PowerPoint
  • AutoCad Knowledge preferred
  • SAP Knowledge preferred
  • Familiarity with Lotus Notes
  • Ability to work extended hours when necessary
  • Comfort/confidence to lead public speaking engagements
  • Multilingual (Italian / English) preferred

Salary Range: $80-$90k*
